Your case files under your own control, in Europe

What a client confides in you now sits with Microsoft or Google. We put case files, mail and client contact in a setup of your own at a European hosting company. Your practice software stays, and you call one person you know.

What you get back

  1. You know who has access

Every matter has its own folder, open only to the people involved. Who signed in when is kept in a log you can ask for.

  2. European law only

Microsoft must hand over data when an American court orders it, even from a European data centre. A European hosting company is outside that reach.

  3. An answer for the client

When a client asks where their documents are, you name the country, the hosting company and the person who runs it.

We take care of the security

Phishing, ransomware, a laptop left on the train. Whether something like that stops your office depends on what was set up beforehand. This is in every workplace we manage.

When a client asks how you are secured, you get a short description per part to send along.

  • Sign-in with a code

Everyone signs in with a password and a code on their phone. A leaked password on its own opens nothing.

    A stolen password
  • Updates straight away

We install security updates as soon as they come out. Nobody at the office has to think about it.

    A known flaw
  • A backup every night

Encrypted, to a second location in the EU, and we test that it can be restored. Earlier versions of every file are kept.

    Ransomware
  • Leavers are locked out

One account for everything, so we close it all at once, on the day you tell us.

    Someone who left
  • A log of every sign-in

Who signed in when is recorded, so a sign-in that looks wrong can be checked afterwards.

    A strange sign-in
  • When something happens

You hear without undue delay what happened and what we did. You need that for your own report.

    A data breach

What you will work in

Open source software around your case files, each with its own company or foundation behind it. Basenet, Legalsense and Kleos stay where they are.

Word and Excel files edited in the browser, with several colleagues at once.

The office's folders, shared per team, on the laptop and on the phone.

Everyone keeps their address, in Thunderbird, in Outlook and on the phone.

A calendar per person and one for the whole office, on the phone as well.

Channels per subject, with files and reactions, encrypted end to end.

  • Nextcloud

A folder per matter, open only to the people involved. On the laptop the folders sit in Explorer or Finder, as they do now.

    Replaces OneDrive and SharePoint

  • Collabora Online

Word and Excel files edited in the browser, with track changes and comments in the margin.

Replaces Word, Excel and PowerPoint online

  • Own mail server

Everyone keeps their address. It works in Outlook, in Apple Mail and on any phone.

    Replaces Exchange Online

  • Thunderbird

Mail and calendar on the laptop, with no licence. If your team is used to Outlook, it can keep Outlook.

    Replaces Outlook

  • Element

Talk with colleagues and clients in channels, as in Teams. Encrypted end to end.

    Replaces Teams chat

  • Keycloak

One password for everything, with a code on the phone. When someone leaves, everything closes at once.

    Replaces Entra ID

How the move works

Questions from law firms

If your question is not here, send it to info@vitefait.nl.

Can we still work in Word?

Yes. Collabora opens .docx in the browser, with track changes. Whoever formats pleadings in Word keeps Word on the laptop, with a separate Office licence.

How do we share documents with a client?

Through a share link to a folder in Nextcloud, with a password and an expiry date. When the matter closes, you revoke the link.

Does Vite Fait look in our case files?

As administrator we have technical access to the server. We open no case files unless you ask us to for a fault, and that goes in the log.

Where is the server?

In a data centre in the EU, with a European hosting company that has no American parent. Its name is in the data processing agreement.

Does Vite Fait give legal advice?

No. We supply the facts: where the data is, who can reach it and what happens in an incident. The view on your professional rules is yours.

Will our people notice much?

They work in the same case folders, with the same addresses and calendars. What is different, we can show them at your office. For further questions there is a ticket system that works by email.

Is there a data processing agreement?

Yes. We sign it before anything moves, and you can request the model in advance.
